Automation actions and message variables

Click Add Action, open the step and choose its Action Type.

The actions

  • Communication: Send SMS, Send Email, Send Care Instructions, Request Review, Send Proposal, Ask for Missing Contact Details, Suggest Booking (SMS), Send Internal Notification, Send Work Order to Staff, Send Day Sheet to Staff.
  • Create: Create Task, Create Invoice, Convert Quote to Invoice, Create Quote, Draft Quote with AI, Select Warranty, Create Expense, Create Booking, Create Calendar Event.
  • Customer: Add Tag, Remove Tag, Update Customer Field, Update Missing Information, Convert Lead to Customer, Assign Staff, Assign Lead to Team Member, Assign Lead Agent, Put Lead on a Partner Program.
  • Status updates: Update Lead Status, Move Lead to Board, Update Booking Status, Update Quote Status, Update Invoice Status.
  • Flow & AI: Wait / Delay, AI Lead Journey.

Waiting between steps

Every step has Delay Before This Step, from No delay (immediately) up to 2 years. For example, a review request 2 days after a job is Job Completed, then Request Review with a 2-day delay.

Common settings

  • Send SMS and Send Email: on booking triggers, choose whether it goes to the customer or the assigned staff. Write the Message (and a Subject for email). Write with AI drafts it for you. Capture the reply into the CRM saves a lead's name or email when they text back.
  • Create Task: a title, who it's for (Nobody in particular, Everyone on the team or one person), the priority and when it's due.
  • Assign Lead to Team Member: Round robin, Least loaded or one Specific team member.
  • Send Internal Notification: tells the assigned staff member, the business owner or one team member. They get it in the app, and by email and text when they have one on file.
  • Assign Lead Agent and AI Lead Journey hand the lead to the Lead Agent, which then follows your Lead Agent Settings.

Message variables

Click Insert Variable under a message (in an email, use Insert variable in the toolbar) to add details that change for each person, like their first name, the vehicle, the booking date, a quote or invoice link, or your business name. They show as chips with friendly names.

  • A variable with nothing to fill it with is left blank, so write messages that still read well without it.
  • Links to quotes, invoices and the customer portal only fill in when the automation starts from that record.
  • An email with no subject goes out as "Message from" your business name.
