How an automation works
- One trigger: the event that starts it, like Job Completed or New Lead Created.
- Actions: what happens next, like sending a text, creating a task or changing a status. Each step can wait before it runs.
- Optional filters and If / Then / Else branches, so it only runs, or runs differently, when something is true.
Create one
- Click + New Automation, then Start from scratch (or Start from a template, see Automation templates and building with AI).
- On the left, give it a Name, an optional Description and a Category.
- The trigger starts as Job Completed. Click Change on the Trigger card to pick another. Its settings show on the same card.
- Click Add Action to add steps. Add Filter stops the automation unless a rule matches, and If / Then / Else splits it into a Yes and a No path.
- Click Save.
Saving a new automation turns it on straight away. Finish the steps and test them before you save. See Test an automation and read its history.
Turn it on or off
- In the builder, the button at the top says Active while it's on. Click it to pause; it says Activate while paused. This takes effect at once, without saving.
- On the Automations list, use the switch in the Active column.
The left panel also has Goal (stop early when the contact books, accepts a quote, pays, replies or unsubscribes) and Safeguards. See Automation safeguards and consent.
Start simple, for example a thank-you text after Job Completed, and add steps once it works.
