Invoices, payments and expenses

Deposits

A deposit secures the booking before you order film or block out a bay. You can ask for one on a quote, a proposal or an online shop booking.

Set a default deposit

  • Quotes: Settings → Invoice, Quote & Proposal → Quote tab. Turn on Default Deposit on Quotes and set a dollar amount or percent.
  • Proposals: turn on Ask for a deposit by default in the proposal settings.
  • Online shop bookings: Online Shop → Storefront → Deposits. Turn on Ask for a deposit and choose Percent of the job or Fixed amount.

Deposits on a quote

  1. While building the quote, open Quote Options and find Deposit.
  2. Turn on "A deposit is required to book this job" and set it in $ or %.
  3. Send the quote. The customer pays with Pay Deposit.

The Deposit card on the quote shows what's Required, Received and Remaining. Use Request Deposit to send it again, Record Deposit for a deposit paid in person, or Card Terminal to charge a card reader.

When a deposit is paid

  • Paying the full deposit accepts the quote.
  • You get a Deposit Received notice, and the Deposit Paid automation trigger runs.
  • For an online shop booking, the booking is confirmed and goes on the calendar.
  • When you convert the quote to an invoice, the deposit comes across as a payment.

Deposits on an invoice

When you record a part payment on an invoice, tick Mark as Deposit. The invoice shows Deposit Paid until more is paid.

Tip

Use the Chase Quote Deposit (until paid) automation template to remind customers who haven't paid their deposit, and Deposit Received — Confirmation to thank them when they do.
