Importing data from another system

Every import lives in one place: Settings > Data Import. Pick the source, upload the file it exported, check the preview, and import. The Customers and Invoices pages also have Import Customers and Import Invoices buttons (the upload icons), and an empty Leads page offers Import from OrbisX and Import from a Spreadsheet, so you can start from where the data belongs.

The page is headed Select source of import, with the sources split into Import from local files and Import from apps. Every importer takes .csv, .xlsx or .xls files, as the other system exported them. To open Data Import you need access to Settings; on a team, the owner, an admin or the Setup Specialist role has it.

From a spreadsheet

  • Customer Spreadsheet: download the template, fill it in (or paste any system's export into it), and upload. Customers and their vehicles come across.
  • Services Spreadsheet: your service catalog with prices. Existing services are never changed.
  • Wrapstart Services File: the .json services file exported from another Wrapstart account (Resources > Services).
  • Leads Spreadsheet: open leads from any other tool or a hand-kept list. Column names are matched flexibly, and a template shows every column Wrapstart reads.

From another app

  • OrbisX: customers, invoices (open and paid) and leads, from its exports.
  • Urable: customers and invoices.
  • TintWiz: customers and invoices.
  • Zoho Books: customers and invoices.
  • TORQ CRM: invoices, from the invoice list export. The customers on them are matched or created as part of the same import.
  • GoHighLevel: leads, from the opportunities export. You choose which of your pipeline columns each GoHighLevel stage goes to. Contacts exports are not imported yet.
  • QuickBooks: customers, from the Customer Contact List CSV. Invoices sync live once QuickBooks is connected under Integrations, so they are not imported as a file.

Duplicates and re-uploads

Before anything is written, each row is checked against what you already have: by the other system's record ID where the file has one, then email, phone and name for customers, and by invoice number or ID for invoices. Matches show as Duplicate (or Already imported) in the preview and are skipped, so uploading the same export twice does not double your data. Rows that need a customer you do not have yet can create that customer as part of the import.

New customers keep the date they were created in the old system when the file has one, so your customer history keeps its real age.

Verifying your import

The completion screen counts what was imported, skipped and failed (lead imports also count leads linked to existing customers). Open a few records afterwards to confirm the details look right, then check Reports: imported invoices count towards revenue and sales tax by their invoice date, and imported leads appear by source.

Tip

Import customers before invoices and leads. Invoices and leads are matched to customers by email and phone, so the customers should be there first.
