Revenue, payments and invoices

Four tabs cover your money. The key difference: Overview, Revenue and Invoices count invoices by their invoice date, while Payments counts money by the day it arrived.

Overview

  • Total Revenue: the total of invoices dated in the range, tax included. Drafts and cancelled invoices don't count.
  • Amount Collected: how much of those invoices has been paid, plus deposits not yet on an invoice.
  • Outstanding: what is still owed on them.
  • Collection Rate: the share of the invoiced total that has been paid.
  • Deposits Collected: deposits paid in the range. It only shows when there are some.

Below are the Revenue Trend, Invoice Status, Revenue by Category (before tax), Invoice Aging and the Lead → Revenue Funnel. If invoices in the range are overdue, a banner at the top gives the count and total.

Revenue

  • Total Revenue and Avg Invoice Value.
  • Estimated Profit: what you collected less the estimated cost of the work. Profit Margin is that profit as a share of what you collected, so a month with lots of unpaid invoices looks thin until they're paid.
  • Top Customers: your five biggest customers in the range.
  • Quote Performance, and Proposal Performance if you use proposals.

Payments

This tab counts money actually received in the range: invoice payments and deposits.

  • Collected, Payments (and how many customers paid) and Top Tender, the way customers paid most.
  • Revenue by tender type: each way customers paid (cash, card, e-transfer and so on) with its total and share.
  • By customer: each customer's payments split by how they paid.
Tip

Use Detail on the Payments tab to download every payment line by line. It's the easiest way to match your bank deposits.

Invoices

  • Total Invoices, Paid Invoices and Overdue (unpaid and past their due date).
  • Days Sales Outstanding: on average, how many days an invoice takes to be paid.
  • Invoice Status Distribution and Accounts Receivable Aging, which groups unpaid invoices into Current, 1-30 Days, 31-60 Days, 61-90 Days and 90+ Days.
